These Terms and Conditions govern access to and use of the MaxHesabi website, mobile application and related services.

By creating an account, accepting an invitation or using MaxHesabi, you agree to these Terms and acknowledge the Privacy Policy.

1. The MaxHesabi service

MaxHesabi provides business and workforce-management tools that may include:

  • Organization and shop management
  • Employee and manager accounts
  • Role-based access
  • Attendance and work-hour records
  • Schedules and leave requests
  • Tasks and assignments
  • Daily reconciliation and operational reporting
  • Expense records
  • Notifications
  • Employee, payroll and performance information

Available functionality may depend on your role, organization, subscription and configuration.

2. Accounts and eligibility

You must provide accurate and current account information.

You may only join an organization when you are authorized to do so. An organization may invite you, assign your role, connect your account to an employee record and determine which shops and information you can access.

You are responsible for:

  • Keeping your login credentials confidential
  • Protecting access to your device
  • Not sharing your account
  • Promptly reporting suspected unauthorized access
  • Ensuring information submitted through your account is accurate

You must not impersonate another person or create an account using information you are not authorized to use.

3. Organizations and administrators

An organization is responsible for:

  • Managing its users, roles and permissions
  • Determining the lawful basis for processing employee data
  • Informing employees about workplace monitoring and attendance practices
  • Ensuring compliance with employment, tax, accounting and privacy laws
  • Reviewing and correcting operational, attendance and payroll information
  • Maintaining appropriate internal authorization procedures

Authorized administrators and managers may view or modify information according to their assigned permissions.

MaxHesabi does not act as an employer and does not make employment, payroll or disciplinary decisions.

4. Attendance and location

Attendance features may use foreground location to compare the user’s position with the configured workplace location.

Location accuracy can be affected by the device, buildings, network conditions, operating-system settings and other factors. A location result or warning must not be treated as conclusive proof of employee presence, absence or misconduct without appropriate human review.

Attendance may be saved with a warning when:

  • The user is outside the configured workplace range
  • Location permission is denied
  • Location cannot be determined
  • Location accuracy is insufficient
  • The device is not recognized as the employee’s default or trusted device

Managers and authorized users may review and correct attendance and work-hour information. Changes may be recorded in an activity history.

5. Tasks, reports and expenses

Users must submit accurate task, attendance, expense and operational information.

Administrators and managers may assign tasks, review employee tasks, edit authorized records and submit final daily reports.

Uploaded receipts, photos, notes and reports must relate to legitimate organizational activity. Users must not upload unlawful, misleading, confidential or third-party content without authorization.

MaxHesabi does not independently verify every record and is not responsible for decisions made solely from inaccurate information entered by users or organizations.

6. Subscriptions and payment

Some features may require an active organization subscription purchased or managed through the MaxHesabi website.

Prices, billing periods, renewal terms, cancellation rules and applicable taxes are displayed before purchase. The organization is responsible for keeping its billing information current.

Unless required by law, ending a subscription does not automatically delete organization records. Account and data deletion are handled separately.

7. Acceptable use

You must not:

  • Use MaxHesabi unlawfully
  • Access information without authorization
  • Circumvent role restrictions or security controls
  • Submit false attendance, expense or operational records
  • Interfere with the service or another user’s access
  • Upload malware or harmful code
  • Probe or test security without written permission
  • Scrape, copy or redistribute the service improperly
  • Use another person’s account or device identity
  • Violate intellectual-property, privacy or employment rights

We may suspend access where reasonably necessary to protect users, organizations or the service.

8. User content

You retain ownership of content you lawfully submit.

You grant MaxHesabi a limited right to host, process, copy, transmit and display that content only as necessary to provide, secure and maintain the service.

You confirm that you have permission to submit the content and that its use through MaxHesabi does not violate another person’s rights.

9. Intellectual property

The MaxHesabi application, website, branding, software, interfaces, documentation and other service materials are owned by or licensed to Max Hesabi.

These Terms grant you a limited, non-exclusive, non-transferable and revocable right to use the service for its intended business purpose. No ownership rights are transferred to you.

10. Third-party services

MaxHesabi may rely on third-party authentication, mapping, storage, hosting, notification and communication services.

Third-party services may have their own terms and privacy policies. We are not responsible for services that are independently provided and controlled by a third party.

11. Availability and changes

We aim to provide a reliable service but do not guarantee uninterrupted or error-free availability.

We may modify, maintain, suspend or discontinue features where reasonably necessary. Where a material change negatively affects a paid service, we will provide notice where required by contract or law.

Users should verify important attendance, payroll, financial and operational information before relying on it.

12. Suspension and termination

You may stop using MaxHesabi at any time.

An organization may remove your membership or change your role. We may suspend or terminate access where:

  • These Terms are materially violated
  • Use creates a security or legal risk
  • Payment remains overdue
  • The account is inactive or unauthorized
  • Suspension is required by law

Where appropriate, we will provide notice and an opportunity to resolve the issue.

13. Account deletion

You may initiate account deletion from the application’s Settings screen or through:

Deleting a personal account may not automatically delete business records controlled by an organization or records that must be retained by law.

If you are the only owner or administrator of an organization, you may need to transfer control, resolve its subscription or contact support before organization-level information can be deleted.

14. Disclaimer

MaxHesabi is a management and record-keeping tool. It does not provide legal, tax, accounting, payroll or employment advice.

Organizations remain responsible for verifying information and complying with applicable laws and contractual obligations.

Nothing in these Terms excludes warranties or rights that cannot lawfully be excluded.

15. Limitation of liability

To the maximum extent permitted by law, MaxHesabi is not liable for indirect, incidental or consequential losses resulting from:

  • Incorrect information entered by users
  • Employment or business decisions made by an organization
  • Temporary service interruptions
  • Loss of access caused by a user’s device or credentials
  • Unauthorized use that could reasonably have been prevented by the user
  • Third-party services outside our reasonable control

This limitation does not apply where liability cannot legally be limited, including liability caused by intentional misconduct or where mandatory consumer law provides otherwise.

16. Indemnification

To the extent permitted by law, organizations and business users agree to be responsible for claims arising from their unlawful use of MaxHesabi, violation of these Terms or infringement of another person’s rights.

This section does not apply where prohibited by mandatory law.

17. Governing law and disputes

These Terms are governed by Polish law, without limiting any mandatory rights available under European Union or consumer law.

Disputes should first be submitted to info@maxhesabi.com so the parties can attempt an informal resolution.

If a dispute cannot be resolved, it will be handled by the court with jurisdiction under applicable law.

18. Changes to these Terms

We may update these Terms when the service or legal requirements change. We will update the date at the top and provide additional notice where required.

Continued use after the effective date constitutes acceptance where permitted by law. If consent is legally required, we will request it separately.

Account Deletion Page

Delete your MaxHesabi account

You can request permanent deletion of your MaxHesabi account and associated personal data.

Delete your account in the mobile app

  • Sign in to MaxHesabi.
  • Open Settings.
  • Select Delete account.
  • Review the consequences.
  • Confirm the deletion request.

Request deletion without the app

If you cannot access the application, email info@maxhesabi.com from the email address connected to your account.

Use the subject:

MaxHesabi account deletion request

Include:

  • Your full name
  • Your account email address
  • The organization name, if applicable
  • A short statement confirming that you want your account permanently deleted

We may request additional information to verify your identity. Do not send your password or sensitive identity documents unless specifically requested through a secure process.

What will be deleted?

Depending on your account and applicable legal requirements, deletion includes:

  • Your authentication account
  • Personal profile information
  • Active device and notification registrations
  • Personal information that is not required for legal, security or business-record obligations

What may be retained?

Some information may be retained when required for:

  • Accounting, tax, payroll or employment obligations
  • Fraud prevention and security
  • Resolving disputes
  • Establishing or defending legal claims
  • Records controlled by the organization that employed or invited you

Where possible, retained information will be minimized, anonymized or separated from the deleted account.

Deletion requests are normally completed without undue delay and within 30 days. More time may be required for complex requests or where permitted by law. Information in protected backups may remain for up to [90] days before being overwritten.

Deleting your account cannot be undone.
